Privacy Policy

MTL Clean Co. (“we,” “us”) takes your privacy seriously. This policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and how you can exercise your rights over it. We comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and with Québec’s Act respecting the protection of personal information in the private sector as amended by Québec Law 25 (“Loi 25”).

1. Information we collect

When you submit the reservation form on this site, you provide the personal information needed to schedule and deliver a clean:

  • Your full name
  • Your email address
  • Your phone number
  • Your service address (street address and borough/city; postal code if you choose to give it)
  • Property details (type, number of bedrooms and bathrooms, and square footage if provided)
  • Service preferences (service type, frequency, preferred date and time, alternate date)
  • Any free-text notes you choose to include

We collect limited, non-identifying technical data through privacy-friendly, cookieless analytics (Plausible), and our host may log IP addresses for security. We also use advertising tools from Google Ads and Meta (Facebook and Instagram) for conversion measurement and remarketing, which set advertising cookies in your browser to measure whether one of our ads led to a reservation and to show you our own ads on other websites and apps. We never sell your personal information.

Card details are entered directly on Stripe’s hosted checkout page and are not stored by MTL Clean Co.. We retain the transaction identifiers, amount, status, and timestamps needed to reconcile payments, refunds, receipts, and accounting records.

If you call us, you might reach our AI phone assistant. It says up front that it is an AI, answers your questions, and can set up a booking. It only asks for what is needed to book your clean (your name, contact, address, and a few details about your home) and never takes payment.

If you ask for a quote through the chat on this site, our AI assistant asks a few questions about your home to put together a draft quote, and someone on our team looks it over before anything reaches you. You can add photos of the space if you like. We keep photos private to our team, use them only to prepare your quote and clean your home, never sell or share them, and delete them once they are no longer needed.

If you choose the live voice option on the quote page, you talk with our AI assistant in real time to put together a draft quote, and someone on our team looks it over before anything reaches you. It says up front that it is an AI. We keep only what is needed to prepare and follow up on your quote, never sell or share it, and you can always type instead.

2. Why we collect it

  • To confirm and deliver your cleaning service
  • To send transactional email (reservation confirmations, scheduling)
  • To respond to questions and customer support
  • To analyze aggregate usage of the site (privacy-friendly analytics, no personal data)
  • To measure how well our advertising works and reach people who may want our service (Google Ads and Meta conversion measurement and remarketing)
  • To summarize and sort incoming reservation requests and draft replies for our team (with help from AI)

3. Who we share it with

We work with a small number of trusted providers to run the site and deliver your clean: email delivery, website hosting, our database, secure card payments, privacy-friendly analytics, advertising measurement, and the AI that helps us prepare quotes and replies. We share only what each one needs to do its job.

We never sell your personal information, and we never share your reservation details with advertisers or data brokers. Some of our providers store or process data outside Québec, including in the United States, and we choose ones that protect it to a standard comparable to what Québec law requires. If you would like to know exactly who handles your information, just ask us using the details below.

4. Cookies, consent, and personalization

Before we set any non-essential cookie or run any non-essential tracking, we ask for your consent through a banner. It offers three categories: necessary cookies (always on, because the site cannot function without them), analytics, and advertising and personalization. Analytics and advertising are off by default; they run only if you turn them on.

Our page-view analytics (Plausible) is privacy-friendly and cookieless. Because it sets no cookies and holds no personal data, it may run without a consent cookie.

If you turn on analytics, we also record anonymous, aggregate interaction data to build a heatmap of the site: where visitors click and how far down a page they scroll. It holds no personal data and never records what you type into a form. We use it only to improve the layout and usability of the site.

If you turn on advertising and personalization, we keep an anonymous record of how you use this site: which services you looked at, whether you started or finished a quote or a reservation, and whether you are a returning visitor. It holds no personal information. We use it to make your return visits a little more helpful and to measure and improve our own advertising.

You can change or withdraw your consent at any time through the “Cookie preferences” link in the footer. If you withdraw advertising and personalization consent, we delete that anonymous record.

We honour the Global Privacy Control and Do Not Track signals sent by your browser. When we detect one of these signals, we treat it as a request not to enable advertising and personalization.

We keep the anonymous record only as long as it stays useful, and it self-expires after that.

5. How long we keep it

We keep reservation records for as long as you remain an active customer, plus three years after your last service for accounting, tax, and warranty purposes. After that, we delete or anonymize the records. We keep information no longer than we need it for the purposes described above.

6. Your rights

Under PIPEDA and Québec Law 25, you have the right to:

  • Access the personal information we hold about you;
  • Have inaccurate or incomplete information corrected;
  • Withdraw your consent to our use of your information, and ask us to delete it, subject to our legal obligation to retain certain records;
  • Receive an explanation of how your information is used and shared.

To exercise any of these rights, email us at team@mtlclean.co and we’ll respond within 30 days. If you are not satisfied with how we have handled your personal information, you may file a complaint with the Commission d’accès à l’information du Québec (the Québec privacy regulator) or with the Office of the Privacy Commissioner of Canada.

7. Security

We use HTTPS for all site traffic and rely on our service providers for at-rest encryption. We restrict access to reservation records to the people who need them to deliver service.

8. Children

The site is not intended for children under 16. We do not knowingly collect personal information from children.

9. Changes

If we make material changes to this policy, we’ll update the “Last updated” date and, where appropriate, notify existing customers by email.
